Dental Receptionist & Patient Coordinator

Job Summary

We are looking for a Dental Receptionist & Patient Coordinator to join our dental team in Leeds. You will be the first point of contact for our patients and the face of our brand, setting the tone for the care and service we deliver.

Key Responsibilities

  • First Impressions Matter: Welcome every patient warmly — in person, on the phone, or online — ensuring they feel cared for and confident in their choice of clinic.
  • Patient Coordination: Manage bookings, diaries, and follow-ups, keeping patient journeys seamless and stress-free.
  • Communication & Service: Handle calls, emails, and enquiries with professionalism, empathy, and efficiency.
  • Proactive Problem Solving: Anticipate patient and practice needs, offer solutions, and spot opportunities to improve the experience.
  • Operational Excellence: Maintain accurate records, payments, and correspondence; ensure front-office processes are efficient and compliant.
  • Financial Accuracy: Process patient payments, manage insurance claims and pre-authorisations, reconcile transactions, and support the practice’s financial integrity.
  • Continuous Improvement: Look for opportunities to enhance patient care, streamline operations, and strengthen financial workflows.
  • Collaboration: Work closely with clinicians and the wider team to keep the practice efficient and patient-focused.
  • Practice Representation: Take pride in being an ambassador for our brand, both inside and outside the practice.
  • (Bonus) Digital & Social Media Engagement: If you have an interest in digital content or social media, support us in building our online community presence.

Skills & Experience

  • Previous experience in a dental or medical practice (essential).
  • A growth mindset — eager to learn, develop, and contribute beyond the front desk.
  • Excellent communication and interpersonal skills, with natural empathy and professionalism.
  • Strong organisational and IT skills (Google Suite, practice software, finance/admin systems).
  • Confidence in handling payments, insurance claims, and financial transactions with accuracy and integrity.
  • A proactive, solution-focused attitude — you enjoy finding opportunities and making things better.
  • Ability to manage multiple tasks efficiently in a busy environment.
